Privacy notice - Lifeworks portals
Effective 10/15/26
This notice explains what personal information the Lifeworks supplier portal (suppliers.golifeworks.com) and team portal (team.golifeworks.com) handle, why, and what you can do about it.
Who we are. Lifeworks Technology Group LLC, New York, USA ("Lifeworks", "we"). Questions or requests: LWQAQC@golifeworks.com.
What we collect
- Your account - name, work email, your company or department, role in the portal, preferred language, and when you last signed in. A cookie keeps you signed in on a device you choose to remember (up to 30 days).
- What you do in the portal - pages opened, forms sent and changes made, with date, time and IP address. We use this to keep the portals secure, to fix problems and to see which features are used. If you ask for a new link to a shared portal video, we record your email address with that request and, if you have no portal account, send it to the staff member who shared the video.
- What you send us - forms, files and photos you upload (for example labels, reports, receipts), and the contact details you enter for your company. Messages you write to Lifeworks about orders and tasks are kept in the portal and in ClickUp.
- Staff only - the company phone list (extension, direct line, mobile, location, department); package records at the New York office (name, signature and photo at hand-over); meeting times you mark in the Meeting Scheduler.
- Buyers viewing our catalogs - if you open a Lifeworks product catalog from a QR code or link: your name, company, email and phone number (optional) - which you may also type in yourself on a Lifeworks staff member's phone at a show - whether you agreed to receive our newsletter (off unless you tick it), and what you do in the catalog (pages viewed and for how long, models you mark, downloads, and lists you send us). We keep only a monthly code made from your IP address, not the address itself. A cookie remembers your device for 90 days. When you send us your list, it goes by email to the Lifeworks staff member for that catalog. If you are not yet on our list and ask for access, we keep your name, company and email for up to 30 days and email the request to that staff member.
- Emails we send you - your address and a record of which messages were sent (sign-in codes, summaries, news, message notifications, and for staff, package arrival and hand-over notices).
We do not collect payment card numbers, government ID numbers or health information through the portals.
Why we use it
To let you sign in and use the portals; to manage orders, inspections, labels, compliance documents and other supplier work; to run internal tools for staff; to give buyers access to our catalogs and follow up on the products they are interested in; to send you sign-in codes, summaries and news (you can turn news and summaries off); and to keep the portals secure.
Who else handles it
The portals run on servers in the United States. Some services work for us and only use the information to provide that service: our web host, our email delivery service, ClickUp (our work-management system, where portal records are also kept), AI tools used to check uploaded label artwork, and a code library service that loads the catalog viewer in your browser. We do not sell personal information.
If you are outside the United States (for example in China or Vietnam), your information is transferred to and stored in the United States. On the supplier portal we ask you to confirm this once, the first time you sign in. If you do not agree, contact us and we will find another way to work with you.
How long we keep it
Account information while you have an account and for up to 12 months after it is closed; activity records for up to 12 months; business records (orders, inspections, submissions, package and expense records) as long as needed for business and legal reasons. When we delete your activity records at your request, a backup copy is kept for 30 days and then deleted automatically. Buyer catalog information is kept for up to 24 months after your last visit; access requests that are not approved are deleted after 30 days.
Your choices and rights
You can ask to see, correct or delete your personal information, or ask how it is used. You can stop news and summary emails at any time with the link at the bottom of each email or in your notification settings. Sign-in codes cannot be turned off because they are needed to sign in. Buyers can withdraw newsletter consent at any time by writing to us or with the unsubscribe link in any newsletter we send. Write to LWQAQC@golifeworks.com; we answer within 30 days.
Changes
We update this notice when the portals change how they use personal information. The date at the top shows the current version.
